About the Role

We are seeking an Administration Specialist to join our team at our Santa Ana, CA bakery. As an Administration Specialist, you will play a critical role in ensuring inventory accuracy, production traceability, and data integrity by supporting daily production reporting, inventory controls, and cross-functional coordination across Production, Warehouse, QA, and Shipping.

 

Compensation

  • Hourly Rate: $22.00 – $25.00

 

Core Accountabilities (What You’ll Be Doing)

  • Maintain accurate inventory records by entering, balancing, and adjusting SAP process orders for raw materials and finished goods.
  • Partner with Production, Warehouse, and Shipping teams to ensure effective inventory controls, reconciliations, and variance resolution.
  • Track and analyze daily waste, downtime, and production data; prepare weekly reports and root cause analyses as needed.
  • Support full product traceability, including finished goods, dough waste, and items on hold, and assist with traceability exercises.
  • Provide finished goods, raw material, and packaging inventory oversight, including subcontracting and outside warehouse processes.
  • Prepare and distribute daily Production Packets and communicate data or documentation deficiencies to QA and leadership.
  • Deliver clerical, administrative, and SAP support across departments and bakeries, including coverage during absences as needed.

 

Minimum Qualifications (What You Bring to the Table)

  • High school diploma or GED required
  • 2–3 years of inventory control, production, or processing experience
  • Working knowledge of SAP and inventory management systems
  • Proficiency in Microsoft Excel and other Microsoft Office applications
  • Strong analytical, organizational, and data accuracy skills
  • Ability to investigate variances and develop corrective action plans
  • Effective communication skills and ability to work cross-functionally

 

Preferred Qualifications (Extra Ingredients for Success)

  • College coursework or associate degree
  • Experience in a food manufacturing or bakery environment
  • Spanish language proficiency
  • Advanced Excel reporting and data analysis skills
  • Experience supporting audits, traceability, or continuous improvement initiatives
