Key Accountabilities

This position is responsible for the professional and efficient managing of visitors, customers, telephone calls and messages, as well as a variety of clerical duties that support business operations.

 

 

Responsibilities

  • Provides front lobby reception coverage, receives and routes a high volume of calls. Provides information to callers, relays messages, and announces visitors.
  • Ensures compliance and manages visitor sign-in log, issues visitor badges, and escorts visitors as needed.
  • Places monthly office supply orders and maintains inventory of supply room.
  • Assists in administrative projects and overflow work from different departments.
  • Sorts and distributes incoming mail.
  • Maintains cleanliness of lobby.
  • Assists with faxing, copying, mailing/distribution, etc.
  • Assists Human Resources department with presentation materials, new hire orientation, organizing/distributing paychecks, preparing/distributing memos and flyers, preparing meeting materials, and preparing packages for shipping.
  • Responsible for managing and administering safety vouchers.
  • Coordinates and assists with employee engagement events and initiatives including decorating common areas for holiday seasons and assisting with event planning.
  • Supports and participates in special projects as assigned including mandated prevention procedures.
  • Serves as liaison for employees in the bakery who may have questions on certain processes and procedures related to the Employee Self-Service Portal, SuccessFactors, and Health & Welfare system.
  • Assists with closing process orders and entering receive receipts through SAP.
  • Assists with Accounts Payable invoicing, tracking, and reports.
  • Follows rules and regulations to ensure food safety, quality, and legality.
  • Establishes and maintains effective working relationships while avoiding distraction.
  • Performs other duties and contributes to special projects as assigned or needed.
  • Must be willing to work 1 day of the month that lands on a Saturday or Sunday

 

Skills, Experience & Qualifications

  • Education: High School Diploma or equivalent
  • Experience: 1–2 years of reception or customer service experience required, preferably in a food manufacturing environment
  • Language Skills: English proficiency in reading, writing, and speaking; Bi-lingual Preferred
  • Computer/Software Skills: Proficient in SAP, Microsoft Office Suite, SuccessFactors, and Dayforce

Work Environment

This position is based on the second floor of an office setting within a bakery facility. The noise level is generally low. Monday- Friday 1st shift, with weekends off.
